PARTNER SERVICE POLICIES
Clear expectations for every memorial and plate order.
Effective August 16, 2026. These policies form part of the funeral-home partner service terms.
01Ownership of photographs and programs
Families, photographers, funeral homes, and other creators keep their existing ownership rights. The funeral home confirms that it has permission to submit every file and grants VirtObits only the limited permission needed to store, process, display, back up, and deliver the memorial service.
02Family authorization
Before submitting a memorial, the funeral home must obtain authorization from the family representative or another person legally permitted to approve the program and included media. The portal records the approving person, the staff member making the submission, the date, and the policy version accepted.
03File retention
Unpaid drafts expire after 72 hours and are scheduled for deletion. Paid memorial files are retained for permanent hosting unless removal is requested, required by law, or necessary for security or service integrity. Residual copies may remain in protected provider backups for a limited recovery period after deletion.
04Subscription cancellation
Canceling a Partner or White-Label subscription stops future renewals and returns the account to Pay-as-you-go after the paid term. Previously paid memorials and QR links remain hosted. White-Label presentation, custom-domain routing, and other subscription-only features are removed when the subscription is no longer active.
05Memorial visibility
New memorials are unlisted by default: anyone with the QR or direct link can open them, but they are not placed in a public funeral-home directory. A funeral home may mark a memorial public only with family authorization. VirtObits does not presently treat an unlisted link as password-protected.
06Refunds and cancellations
Subscription charges are nonrefundable after the billing period begins, but the subscription may be canceled to stop future renewal. A plate order may be canceled for a full refund before production begins. After production begins, refunds are limited to duplicate charges, production errors, damage, or another remedy required by law.
07Plate replacement
Report a damaged, defective, incorrect, or non-scanning plate within 30 days after delivery and include photographs of the problem. VirtObits will replace a verified production or shipping defect without another plate charge. Replacements caused by changed content, a changed address, loss, or misuse are billed at the current replacement price and applicable shipping.
08Production and shipping estimates
Production normally takes 5–10 business days after payment and production approval. Standard shipping normally takes another 3–7 business days. These are estimates, not guaranteed delivery dates; carrier delays, holidays, address problems, or custom production may extend them.
09Data security and recovery
VirtObits limits browser access to private files, uses authenticated server routes, encrypted network connections, role-based staff access, and managed cloud storage. Operational records may be included in restricted recovery copies. No online service can guarantee absolute security or uninterrupted availability, so funeral homes should retain their approved source programs and original media.
